Business Operations Lead
Hire Ventures is a boutique Human Resources and Recruiting consulting firm headquartered in Atlanta. Since 2001, we have been helping growing businesses find and keep great people through fractional, project-based, and advisory HR and Recruiting support.
As our business continues to grow, we are hiring a Business Operations Lead to help us manage the operational side of the business and ensure all of our initiatives across clients, sales, revenue, systems, and partnerships stay connected and moving forward.
This is a hands-on role working closely with our CEO, marketing and delivery team. We’re looking for someone who sees what needs to happen and takes ownership of getting it done. You’ll have support and collaboration from our team, but you must be comfortable working independently, making sound decisions, communicating proactively, and following things through to completion.
What you’ll be doing:
- Own the operational side of the client lifecycle, including contracts, onboarding, engagement changes, renewals, billing, and client engagement wrapup, and maintain strong partnership with our other functional leads.
- Maintain visibility into recurring revenue, active client engagements, team utilization and capacity, invoicing, and receivables.
- Own and maintain our operating scorecard and provide accurate, timely information to support leadership decisions.
- Be a strong owner and user of HubSpot, ensuring prospect, contact, company, lead, partner, and client records are accurate and current.
- Manage the administrative side of our sales process, tracking leads, follow-ups, proposals, agreements, and next steps so opportunities don’t fall through the cracks.
- Support the CEO with sales enablement, including proposals, agreements, sales materials, scheduling, and follow-up.
- Manage our strategic, referral, software, and community partner relationships, including regular touchpoints, referrals, introductions, opportunities, and partner activity in HubSpot.
- Support partner marketing, communications, events, and other opportunities that help strengthen our referral network and generate business.
- Manage the operational process around invoicing and time keeping, to ensure data is accurate and current.
- Coordinate thoughtful employee, client, partner, and referral recognition, including handwritten notes, gifts, milestones, celebrations, and thank-you messages.
- Support EOS, leadership meetings, quarterly and annual planning, team initiatives, and ongoing process improvements.
- Identify gaps, anticipate what needs attention, and bring forward solutions rather than waiting to be told what to do.
What skills and experience you need to have:
- 5+ years of experience in business operations, professional services, sales operations, project management, or a similar role.
- Strong HubSpot experience or significant experience working within a CRM. You understand the importance of clean data, consistent processes, and follow-through.
- Comfortable working with business metrics including revenue, pipeline, utilization, capacity, billing, and receivables.
- Strong systems and technology skills with the ability to quickly learn and effectively use new tools.
- Demonstrated ability to work independently, prioritize competing needs, and move work forward without constant oversight.
- Strong sense of urgency and follow-through. You understand that timing matters and don’t allow important tasks or communications to sit unnecessarily.
- Sound judgment and problem-solving skills. You know when to make a decision, when to ask questions, and when something needs to be escalated.
- Proactive communication skills. You keep the right people informed and raise concerns before they become bigger problems.
- Highly organized with strong attention to detail while still being able to see the bigger picture.
- Resourceful and adaptable with the ability to figure things out in a small business where priorities can change quickly.
- Superior verbal and written communication skills and the ability to comfortably interact with prospects, clients, partners, vendors, and team members.
- Experience with professional services, HR, Recruiting, EOS, Harvest, or partner management is a plus.
